About the Job

The Interdepartmental Courier plays a vital role in ensuring the efficient and timely flow of documents, packages, and materials between various Questar III BOCES schools, administrative offices, and district facilities in Rensselaer, Columbia and Greene counties. This position requires a highly organized, reliable, and detail-oriented individual with excellent time management skills and a strong commitment to accuracy and confidentiality. The Courier acts as a crucial link, supporting the day-to-day operations of the entire school district. This is a 10-month position from September through June, based out of our Castleton, NY location. The work schedule is Tuesday–Thursday, roughly 7:30 am - 12:00 pm, with possible flexibility. This is a 10 month position, working during the school year.

Essential Duties and Responsibilities:

  • Timely Deliveries and Pick-ups: Safely and efficiently transport interdepartmental mail, packages, supplies, equipment, and other materials to and from all designated district locations (e.g., schools, administrative offices, maintenance departments, warehouses, athletic facilities).

  • Mail Processing: Sort, categorize, and distribute incoming and outgoing mail, ensuring proper routing and delivery to the correct departments or individuals.

  • Record Keeping: Maintain accurate logs of deliveries and pick-ups, including dates, times, recipients, and contents, as required. Report any discrepancies or issues promptly.

  • Confidentiality: Handle all confidential documents and materials with the utmost discretion and security, adhering to district policies regarding sensitive information.

  • Vehicle Operation & Maintenance: Operate a district-owned vehicle safely and responsibly, adhering to all traffic laws and district transportation policies. Conduct daily pre-trip inspections, maintain cleanliness of the vehicle, and report any maintenance needs or issues to the supervisor.

  • Loading and Unloading: Safely load and unload materials from the delivery vehicle, utilizing appropriate lifting techniques and equipment when necessary.

  • Communication: Maintain clear and professional communication with district staff regarding delivery schedules, pick-up requests, and any potential delays or issues.

  • Route Optimization: Plan and optimize delivery routes to ensure efficiency and timely completion of tasks, especially during peak periods.

  • Problem-Solving: Identify and address minor logistical issues or discrepancies that may arise during deliveries.

  • Compliance: Adhere to all district policies, procedures, and safety regulations.

  • Other Duties as Assigned: Perform other related duties as assigned by the Director of Facilities.

Qualifications:

  • Education: High school diploma or equivalent required.

  • Experience: Previous experience in a courier, delivery, or logistics role preferred. Experience working in a school district or similar institutional setting is a plus.

  • Driving Record: Valid New York State driver's license with a clean driving record required. Must be insurable by the district's insurance carrier.

  • Physical Requirements:

    • Ability to frequently lift, carry, push, and pull up to 50 pounds.

    • Ability to stand, walk, bend, stoop, and climb stairs for extended periods.

    • Ability to load and unload vehicles.

    • Good vision and hearing (with or without corrective devices).

    • Ability to work in various weather conditions.

  • Skills & Abilities:

    • Excellent organizational and time management skills.

    • Strong attention to detail and accuracy.

    • Reliable and punctual with a strong work ethic.

    • Ability to work independently with minimal supervision.

    • Good communication and interpersonal skills.

    • Knowledge of local geography and efficient routing techniques.

    • Basic computer skills for logging deliveries (if applicable).

    • Ability to maintain confidentiality and handle sensitive information with discretion.

Working Conditions:

  • Primarily operates a district vehicle, with frequent stops at various district locations.

  • May involve exposure to various weather conditions (hot, cold, rain, snow).

  • Occasional lifting of heavy objects.

  • May interact with a diverse range of district staff.
